Prior to a board meeting’s beginning, the director should have created a board meeting agenda for members to review. Using this agenda, you should be able to create somewhat of an outline for your meeting minutes. Using this agenda will also help to ensure that no major topics are omitted.

Be Sure to Record Major Decisions & Votes

While this may not occur in each board meeting, major decisions and votes should be recorded in the board meeting minutes. This holds as an official record for future reference if needed.

Share Board Meeting Minutes with Members

Once the meeting minutes are complete, you will need to ensure that these minutes are provided to the right members of the board (especially the directors). Each board’s process may be different, but be sure to receive approval from your board’s Chair prior to sending the meeting minutes to other members.

Sharing board meeting minutes can become messy and complicated when done through email. Oftentimes, they are misplaced and will require frequent resends.
